Get your team and first vehicle moving

Start here for the web app. Some actions need a manager’s permission. Keep vehicle and customer information inside your dealership workspace.

Your first vehicle: six steps

  1. Open your dealership

Sign in with your own account and choose the correct dealership. New dealership owners confirm their email, then finish card-required checkout before the workspace is created. Invited teammates use their invitation and own sign-in.

  2. Invite the people doing the work

An authorized manager opens Settings → Team → + Invite, enters the teammate’s details and selects the appropriate roles. Check Pending invites before sending another invitation. Give each person their own account.

  3. Add the vehicle

Open Vehicles and select Add vehicle. Enter the VIN and review any decoded details; confirm the stock number and vehicle information before saving. Check the existing inventory first to avoid adding the same vehicle twice.

  4. Complete onboarding

Open the vehicle’s onboarding flow. Work through Photos, What’s in the Car, and Condition. Mileage, spare keys and the dash-light answer are required; a reported dash light needs a description. Review or explicitly skip the interior and exterior condition, then select Submit.

  5. Place the vehicle in its workflow

Open the vehicle detail and use the Actions rail to assign a department or move it to the next permitted stage. A subdepartment is optional. Your role and the vehicle’s current status determine the available actions.

  6. Keep the work visible

Use the vehicle’s tasks, inspection information, photos and timeline to keep your team current. Assign a department before adding tasks. Refresh the detail after a change if you need to confirm the saved result.

Team and access

Starter and Pro include unlimited users. A specific operator-set account limit can still apply; an invitation that exceeds it will be refused. Ask your dealership administrator to check Billing and Team if you see a limit or permission message.

An invited member and an active member are different states. Review both the member-status filter and Pending invites when someone appears to be missing. If a teammate already has an account, they should sign in with the invited email and select the correct dealership.

Missing controls usually mean your role cannot perform that action, or the vehicle is in a different stage. Ask an administrator to review your roles instead of sharing their credentials.

Photos that save successfully

Use JPEG or WebP files in the web photo picker. If your phone supplied an HEIC file, export a JPEG before uploading. Keep the page open until the upload finishes, then confirm the image appears on the vehicle.

If a file is rejected, follow the displayed size or format message. Try a smaller image and a stable connection. Reload the vehicle before retrying so you can check whether the first upload already completed.

Upload, reorder and delete controls depend on your role and, for some roles, whether you are assigned to the vehicle. A permission error needs an administrator’s review. Do not put passwords, payment information or unnecessary personal documents in vehicle photos.

Trials and billing

New public subscriptions start with a 30-day trial and require a card. Confirm your email, review the selected plan and billing frequency in secure checkout, and cancel before the trial ends to avoid the first payment.

Starter is $99/month or $990 paid upfront each year after the trial. Pro is $249/month or $2,490 paid upfront each year after the trial. Annual prices are a yearly payment, not twelve monthly installments. You can cancel renewal at any time; cancellation does not promise a prorated refund.

Starter’s roughly 40 recon vehicles per month is a planning guideline, not a vehicle-deletion rule. Unlimited users does not include a promise that every external provider is activated.

In your dealership, open Settings → Billing for the actual subscription subtotal, invoices, payment method and cancellation. Historical or custom subscriptions may have different terms. The displayed base subtotal includes recurring rooftops before discounts and taxes; the invoice shows the billed amount.

A monthly-to-annual change can start a new billing period and cause an immediate charge. Review the resulting charges and credits in the billing portal. A registration-paused message means new checkout is unavailable; existing users can still sign in.

Compare current plans

Before connecting a provider

Starter supports manual intake and VIN scanning; it does not include configuring or running a DMS inventory feed. Existing feed history remains readable, and an authorized administrator can disable an existing configuration.

Pro is eligible for inventory-feed setup. Confirm DMS compatibility and activation with ReconRelay before relying on inventory sync. SMS and mobile push also require provider configuration and activation. Choosing a plan does not, by itself, verify delivery.

Once SMS is activated, Starter includes 250 message segments and Pro includes 1,000 per rooftop per UTC calendar month. Long or Unicode texts can use several segments. The SMS settings and delivery log show measured and estimated usage, warn at 80%, and retain messages that would exceed the allowance. Vehicle work continues; no automatic overage charge is added.

If a connection fails, record the time, action and visible error, then contact support. Do not send API keys, passwords, private signing keys or customer records.

Common stops and the next step

I cannot sign in.
Check that you are using your own account and correct dealership. Use Reset your password if needed. Follow the reset link in the same browser that requested it, or request a fresh link in the browser you intend to use.
Onboarding will not advance.
Read the validation message beside Next or Submit. Enter mileage, spare keys and the dash-light answer, including a description when required. Review or explicitly skip both condition sections. A saving error must be resolved before leaving the page.
My vehicle or teammate disappeared.
Check your selected dealership, search term and status filters. Sold, archived, invited and active records can appear in different views. Ask an administrator before adding a duplicate.
I still need help.
Use the in-app support action or email info@reconrelay.com. Include your dealership name, the action, time and visible error. Leave out credentials and unnecessary personal data.
